Welcome to the second edition of Fun Fact Friday. This bi-weekly publication will provide information about the exciting new changes coming with the implementation of SuccessFactors. In each FFF edition, we will cover two topics to educate you on new system functionality or process changes and give you project-specific news. This week, we are letting you know about:
- SuccessFactors Automation Tools
- Reference Checks
- Background Checks
- Change Readiness Assessment #1 (CRA), Summary/Update
**Disclaimer:**The information provided here is intended for general informational purposes only. Please note that each campus operates independently, and policies and procedures may vary. For specific inquiries and further details, please contact your campus System Administrator.
SuccessFactors Automation Tools
SuccessFactors provides automation tools that enhance efficiency and record retention while reducing manual efforts. This article highlights some of those automated features and the benefits we can expect as we move into our future state!
Reference Checks
When an applicant's status changes from “Interview 1” to "Reference Check," an automated email prompts them to log in and submit three references for a thorough check. The screenshot to the right shows the required fields.
After candidates submit references, campus representatives can see this information populated in SuccessFactors. This helps to streamline the process by reducing follow-up tasks, saving time through minimal labor and centralizing reference storage and notes for easy access in the future.
Background Checks
SuccessFactors and OneSource conduct background checks through their integration, allowing users to initiate the process without needing to switch to another program. On the left you can see how you can choose from various background check packages and initiate the process directly within the platform when it's time for pre-employment checks.
Once the background check is started, OneSource automatically notifies the candidate and requests the necessary information. The candidate then provides all required details, allowing OneSource to conduct the background check.
While OneSource verifies the candidate's information, the system displays a status of “Pre-Employment Check.” The duration of this status may vary depending on the scope of the background check. After OneSource completes the verification process, the status in the application details updates to reflect the completion status of the background check.
The automation of completing the background check modernizes data collection and verification, reducing the time required to complete background checks while minimizing the risk of human error.
Change Readiness Assessment #1 (CRA) Summary/Update
The CRA #1, conducted in early December, was very insightful!
Key Takeaways
- Respondents indicated they understood the reasons for transitioning to the new system and that the implementation requires process changes.
- Respondents asked to receive information more frequently and with more details
New Communications
In response to this feedback, we are:
- Adding "Module Monday," brief navigation videos on the project website
- Creating informative posts for "Website Wednesday," and
